I have tested dozens of wedding planning tools. Most are junk. Some are genuinely useful. The 12 below are the ones I still recommend to my clients. They are free. They work. And they will save you hours and dollars.

1. Google Sheets. Free. The ultimate wedding planning tool. Create a master sheet with tabs for budget, guest list, vendor contacts, timeline, seating chart. Share with your partner. Update from your phone. I have planned entire weddings from a single Google Sheet. No software required.
2. Zola or The Knot (free tier). Free wedding websites, free guest list manager, free RSVP tracking. You do not need to pay for premium features. The free tier does everything you need. I have used both. They are fine.
3. Canva. Free for wedding stationery. Save-the-dates, invitations, seating chart signs, menus, thank-you cards. Thousands of templates. Easy to customize. Print at home or at FedEx Office. I have seen couples save $500 by designing their own invitations on Canva.
4. Facebook Marketplace. Free to browse. Used wedding decor, centerpieces, signs, arches, even dresses. A client found a $2k dress for $300. Another found 50 mason jars for $20. People sell everything after their wedding. Buy used. Sell after. Net cost close to zero.
5. Google Drive. Free cloud storage for contracts, inspiration photos, vendor quotes, your spreadsheet. Scan every contract. Upload everything. You will never lose a document again.
6. Trello. Free project management. Create boards for each planning phase — venue research, vendor outreach, month-of checklist. Assign tasks to your partner. Set due dates. I have used Trello for 50+ weddings. It works.
7. WeddingWire or The Knot vendor search (free). Both sites have databases of local vendors with reviews. Filter by price, availability, rating. Not every vendor is there, but enough to get started.
8. RSVPify (free tier). Online RSVPs for up to 50 guests. No stamps. No lost cards. No manual data entry. For larger guest lists, the paid tier is cheap. But the free tier works for small weddings.
9. Google Calendar. Free. Create a shared wedding calendar with your partner. Add vendor appointment times, dress fittings, cake tastings, payment due dates. Set reminders. Never miss another deadline.
10. Spotify or Apple Music (free tier). Your wedding DJ. Create a playlist. Arrange songs by order — pre-ceremony, processional, recessional, cocktail hour, dinner, dancing. Assign a friend to press play. I have done this for dozens of weddings. Works perfectly.
